Behind-the-scenes platform improvements have been completed to strengthen stability, security and long-term support of key portal services. These changes do not alter user-facing functionality but help ensure the platform remains reliable and maintainable.

DBS Process Changes/Enhancements
DBS - Handling KYP Retention Policy
Improvements have been made to the DBS application process to ensure safeguarding records remain accurate when retention policies are applied. The update improves how individuals are matched between England Football Portals and the Know Your People (KYP) service, reducing duplicate records and helping administrators start DBS applications more reliably.
Inactive DBS applications are now automatically marked as inactive when retention policies are applied.
DBS application records now share active/inactive status with connected systems to improve data accuracy.
Users starting a DBS application are automatically checked against existing KYP records.
Person records are automatically corrected and synchronised if discrepancies are found between Portals and KYP.
New KYP records are created automatically when no matching individual is found.
Discipline - Club Portal
Discipline invoices have been enhanced to make fines easier for clubs to identify and manage. Invoices now clearly display the name of the offender, helping clubs understand who a charge relates to when reviewing or sharing documentation.
Offender names are now included on discipline invoices.
Offender names are displayed on Xero invoice PDFs.
Invoice information is clearer and easier for clubs to reconcile and share.
Discipline - County Portal
Updates have been made to discipline communications to ensure users receive clearer and more accurate information. Suspension summaries now focus on grassroots football, and charge wording has been updated to reflect current regulations.
Weekly suspension summaries now only include grassroots football suspensions.
Professional game suspensions are excluded from grassroots suspension notifications.
Updated FA Rule E3.2 charge wording has been added to charge templates.
County FA staff can generate charges using the latest approved wording.
Notifications Re-platforming
Notification Replatform - B2C related changes
Authentication and security configurations have been updated as part of the wider notifications replatformprogramme. These changes support improved testing of multi-factor authentication (MFA) and future platform enhancements.
Authentication settings have been updated across Club, County, Competition, Player and Referee portals.
MFA testing capabilities have been improved in non-production environments.
Security configurations have been aligned to support ongoing platform modernisation.
Notifications Replatform - Clubs Notifications
A new set of Club Portal notifications has been delivered to improve communication with clubs, officials and volunteers. Automated emails now keep users informed about team management, accreditation and County Cup activity without requiring manual follow-up.
League Secretaries are notified when a team is folded.
New club officials receive confirmation when they are added to a club.
Clubs are notified when County Cup invoices are raised.
Clubs receive confirmation when County Cup refunds are processed.
Accreditation approval, renewal and rejection notifications have been added.
Clubs are informed when accreditation renewal windows close without submission.
Accreditation applicants receive updates throughout the accreditation process.
Notifications Replatform - DCS Notifications
Additional automated notifications have been introduced for player registration, qualifications and competition administration. These updates improve communication with players, parents, clubs and leagues by providing timely status updates and reminders.
League administrators can send qualification expiry reminders directly from Competition Portal.
Parents are notified when youth player registrations are approved.
Adult players are notified when their registrations are approved.
Clubs receive daily summaries of newly approved player registrations.
Clubs are informed when player email dispensations are applied.
Parents and players receive online consent requests electronically.
The FA Player Status team is notified when international clearance requests are submitted.
Notifications Replatform - Leagues Notifications
Competition sanction notifications have been expanded to give leagues and applicants better visibility of application progress. Users now receive automated updates when applications are approved, rejected, invoiced or refunded.
Applicants are notified when competition sanction applications are approved.

Competition Secretaries receive payment required notifications.

Notifications Replatform - New Notifications
The next phase of the notifications programme introduces new automated reminders and summaries focused on qualifications and discipline management. These communications help clubs, leagues and officials stay compliant and take action before issues become overdue.
Qualification expiry reminders are now sent at 3 months, 1 month and 7 days before expiry.
Officials receive urgent notifications when safeguarding qualifications expire.
Clubs receive weekly qualification summary emails.
Leagues receive weekly discipline summary emails.
Individuals are notified when discipline cases move to a non-response outcome.
Notification settings are now fully available without feature flag restrictions.
New supporting services have been introduced to enable scheduled notifications.
Production bugs
England Football Portals - Functional bugs
A discipline issue affecting suspended participants and teams has been resolved. The fix ensures sanctions, invoices and suspension records are updated correctly when charges and sanctions are removed following an appeal.
Unpaid discipline invoices are automatically voided when a charge and sanction are expunged.
Related non-payment suspensions are removed automatically.
Charge records are updated to the correct resolved status.
Prevents individuals and teams remaining incorrectly suspended.
