Creating Opportunities

Once you have completed your programme checklist you will need to set up your sessions, please click on ‘Create opportunity’, this will take you to enter all the key details required to set up your sessions. 

You will need to complete all the required fields on this page. As you work through the information you need to enter, you can click on the ? icon which will provide information on each of the items you have selected. 

 

Details section


Status: you can set this to the following; 

  • Hidden -The opportunity is not available to anyone. Use this setting while you are making changes to avoid confusion.
  • Public  -The opportunity will be available to all and will appear in search results. 
  • Direct link only - The opportunity will not appear in search results, but will be available via direct links. 
  • Archived - The opportunity is no longer available for your account and will be moved into your archived opportunities. 


Your reference: You can set a reference for the block of sessions you are creating 

(A reference for the opportunity which will help you identify opportunity in the admin area (e.g. MT03). It is entirely up to you what you enter). 


Activity: you can select ‘Football’ or ‘Futsal’ 


Disabilities: you can select if your sessions are going to be specific to an impairment  


Additional Information -  there will be a default description explaining what participants can expect from the programme you have selected to create sessions for. The additional information field allows you to add your own supplementary info that maybe useful to your customers. 


Additional Confirmation- there will be a default confirmation message covering details of the booking displayed on the booking confirmation page. The additional confirmation fields allows you to add your own supplementary info that maybe useful to your customers. 


Send Reminder emails- If you enable reminder emails anyone who is booked onto your sessions will receive a reminder email on the morning of the session. The email will contain information about the time and location of the session. You can optionally choose to add your own message to this in the Reminder Email Information field. 


Start Date - This is the first day you want your sessions to start. The system will generate all future sessions based on the number of sessions you select to run. 


On the following days- You can select what day of the week your sessions will be generated on a weekly basis.


End Date- Set the end date for your recurring sessions or leave this field blank if you want your sessions to be created indefinitely. 


Number of Sessions - The number of sessions will be automatically calculated based on your selected End Date. 


Contact Name, Contact Email and Contact Phone number- The contact name, email and phone number will be displayed publicly so participants can get in touch if they have questions. You can set defaults values for these fields for Weetabix Wildcats by editing the category from the Weetabix Wildcats landing page. 


Cancellations - If enabled your participants will be able to cancel their registration via their account pages. They will be able to cancel up to the start time of the session. 


Auto Refund- If enabled your participants who paid online will receive an automated refund when they cancel. 


Refund enabled – this will give you the option to set a day and time in which refunds are eligible.  


Session Defaults


Venue- Select the primary venue you are delivering your sessions at. If some of your sessions are happening at different venues, once your programme is created you can edit sessions to change their venue. If you can't find the venue you need you can simply add this using the ‘add venue’ button which will appear when you start typing. 


Minimum age & Maximum age – you can set the age range for participants for your sessions, please note this will vary depending on what programme you have selected to deliver.   


Lead Coach – Your lead coach will pull through automatically from what you have entered in your programme checklist previously, however you will have the option to change this person and add someone new. Please note depending on what programme you have selected to deliver the role requirements may vary.  


Coaching Team - Your coach will pull through automatically from what you have entered in your programme checklist previously, however you will have the option to change this person and add someone new. Please note depending on what programme you have selected to deliver the role requirements may vary.  


Session Start Time- Enter the start time you wish your sessions to start 


Surface- You can select the surface type at the venue you will be using 


Duration- Set how long you wish each session to run for 


Capacity- Please refer to the following guidance document 5.5 - Ratios of adults to children to understand the number of staff members your session will require 


Cost Per Session- The amount you enter will be the cost customers pay per session. Transaction fees (3% + 20p) will be deducted from the amount your receive. Fees only apply if using Stripe. For a £3 session you will receive £2.71. To pass on the transaction fees to customers increase the cost of your session. 

 

Save opportunity - Once you have completed all the fields required on this page you will need to click ‘Save Opportunity’ at the bottom of the page, this will then generate your sessions with the information you have provided.
